Field HR Assistant

Job Summary
Our client in the Agribusiness & Estate Development industry is seeking a proactive and well-organized Field HR Assistant to support day-to-day human resource activities at its operational site in Ngerengere, Morogoro.
The successful candidate will work directly on-site, supporting employees and management with attendance, employee records, recruitment and onboarding, leave administration, staff welfare, HR documentation, and other routine HR matters. This role requires someone who is comfortable working in a field-based operational environment and interacting closely with employees across different departments.
Key Responsibilities
1. HR Administration & Employee Records
- Provide daily HR support to employees working at the Ngerengere site.
- Act as a first point of contact for routine employee HR queries and concerns.
- Support communication between employees, supervisors, and the HR team.
- Assist in ensuring HR policies and workplace procedures are followed on-site.
2. Recruitment & Onboarding
- Support recruitment activities, including vacancy coordination, candidate screening, interview scheduling, and communication with applicants.
- Coordinate collection of required documents from successful candidates.
- Support preparation of employment contracts and onboarding documentation.
- Coordinate employee orientation and ensure new employees complete required joining procedures.
- Maintain recruitment and onboarding records.
3. Attendance, Leave & Employee Administration
- Monitor employee attendance, absenteeism, leave, and related HR records.
- Maintain accurate leave records and support the administration of leave requests.
- Follow up on attendance issues and ensure relevant information is communicated to management.
- Support employee transfers, confirmations, contract renewals, and separation processes.
4. Employee Relations & HR Support
- Serve as an accessible HR contact for employees seeking guidance on routine workplace matters.
- Support management in addressing employee concerns and workplace issues.
- Assist with disciplinary and grievance processes in accordance with company procedures and applicable requirements.
- Promote professional communication and positive working relationships across the organization.
- Maintain confidentiality when handling sensitive employee matters.
5. Payroll & Statutory Support
- Compile and verify relevant employee information required for payroll processing.
- Coordinate attendance, leave, overtime, new employee, and employee exit information for payroll purposes.
- Support the maintenance of employee statutory and benefits documentation.
- Work closely with relevant departments to resolve discrepancies in employee information.
6. Performance & Training Coordination
- Support the coordination of employee performance review processes.
- Maintain performance management documentation and follow-up records.
- Assist in identifying and coordinating employee training and development activities.
- Maintain training records and support evaluation of completed training activities.
7. HR Compliance & Reporting
- Support implementation of company HR policies, procedures, and workplace standards.
- Assist in ensuring HR practices comply with applicable employment requirements and internal procedures.
- Prepare periodic HR reports on staffing, attendance, recruitment, leave, employee movements, and other HR activities.
- Support HR audits and provide required employee documentation when needed.
- Perform other HR-related duties assigned by management.
Qualifications & Requirements
- Bachelor’s Degree or Diploma in Human Resource Management, Business Administration, Public Administration, Management, or other related field.
- Minimum 2 years of relevant experience in Human Resources, HR Administration, or a related role.
- Good understanding of general HR administration and employee management processes.
- Practical experience with employee records, recruitment, onboarding, attendance, and leave administration.
- Basic understanding of Tanzanian labour and employment practices.
- Good organizational and record-management skills.
- Strong interpersonal and communication skills.
- Ability to handle confidential employee information professionally.
- Good problem-solving skills and attention to detail.
- Proficiency in Microsoft Word, Excel, and other standard office applications.
- Good written and verbal communication skills in English and Kiswahili.
- Ability to work independently and coordinate effectively with employees and management.
- Experience working in agribusiness, agriculture, estate operations, or a similar environment will be an added advantage.
- Must be comfortable working on-site in Ngerengere, Morogoro
